and improve Documind responsibly.
Account details
- Name and email address
- Payment information for paid plans (processed via our billing partners)
- Workspace preferences and account-level settings
User responsibilities regarding account security are covered in the
“User accounts & content” section of the Terms.
Service usage data
- Prompts, generated outputs, and uploaded documents
- Feature usage statistics and in-product events
- Error logs and diagnostic metadata
Rights related to generated code and models appear in “Intellectual property”
within the Terms of Service.
Automatic technical data
- IP address, browser type, and operating system
- Device identifiers and session timestamps
- Pages visited, referral information, and navigation patterns
2. Analytics & Cookies
We rely on privacy-conscious analytics and tracking tools to
understand platform performance. These tools may set cookies or use
similar technologies. You can adjust preferences through your browser

- Train AI systems unless excluded under an Enterprise agreement

- Deliver customer assistance and incident response
- Process payments and send transactional updates
- Communicate service changes, policy updates, or new features
Safety & compliance
- Protect accounts, APIs, and infrastructure
- Monitor abuse, fraud, and suspicious behavior
- Meet legal obligations and enforce our agreements
Enterprise plans may opt-out of specific training and telemetry uses as
described in “Data usage, training, and learning” within the Terms.
4. Data Sharing & Processing
We share information with vetted vendors that help us run Documind.
Each provider signs agreements requiring appropriate safeguards, data
minimization, and contractual confidentiality obligations.
- Service providers receive data only when needed to deliver billing,
support, infrastructure, or analytics services.
- Enterprise plans include additional restrictions on AI model
training, third-party processing, and custom handling agreements.

5. Your Choices & Rights
Depending on where you live, you may have the right to access, correct,
delete, or export your personal information, and to object to or limit
certain processing.

6. Security Measures
Documind implements layered security controls consistent with
industry expectations:
- Encrypted transport (HTTPS/TLS) and encrypted data at rest where supported
- Role-based access, least-privilege permissions, and audit logging
- Regular vulnerability assessments and employee security training
These safeguards complement the warranty disclaimers and limitation of
liability provisions in our Terms of Service.
7. Service Improvements & AI Training
We may use certain interaction data to improve Documind’s models,
capabilities, and reliability, consistent with “Data usage, training,
and learning” in the Terms. Enterprise customers can activate
additional safeguards that exclude their content from training, logging,
or human review workflows.
- We disclose which data sources feed training pipelines
- Enterprise agreements supersede default training behavior
- You may request exclusions for specific projects via support
8. User Content Visibility
By default, projects and their associated prompts, schemas, and outputs
remain private to you and Documind’s authorized personnel who require
access to deliver support or maintain the platform.
- Projects marked “public” may be visible to other Documind users and remixable
- Private projects cannot be accessed by other users without your consent

Attempting to bypass technical safeguards is prohibited and may result
in account suspension
9. Liability & Account Responsibilities
You are responsible for keeping your credentials secure and monitoring
account activity. Native Digital Inc. is not liable for damages arising
from unauthorized access caused by your failure to protect login
information. Additional disclaimers appear in “Disclaimer of warranties”
and “Limitation of liability” within the Terms.
10. Children’s Privacy
Documind is intended for professionals 18 and older. We do not knowingly
collect data from children, and we delete such information if we learn
that it was provided without verifiable parental consent.
11. International Transfers
Documind relies on a distributed infrastructure, which means data may be
processed in the United States or other jurisdictions where our service
providers operate. We implement appropriate safeguards—such as Standard
Contractual Clauses—when transferring personal data across borders.
12. Relationship to Our Terms
This Privacy Policy is incorporated into and governed by our Terms of
Service. If there is a conflict between this document and the Terms, the
Terms control.
13. Policy Updates
We may revise this policy from time to time. When we do, we will update
the “Last updated” date above and follow the notice process described in
the Terms. Continued use of the Services after updates becomes effective
constitutes acceptance of the revised policy.
